Privacy Policy

Effective Date: April 9, 2026  ·  Last Updated: April 9, 2026

1. Introduction

David Crane, MD, practicing through Bluetail Medical Group ("we," "us," or "our"), operates this website (the "Site"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our Site, submit a contact or consultation request form, interact with our content, or arrive via an advertising campaign.

By using this Site, you consent to the practices described in this Privacy Policy. If you do not agree, please discontinue use of the Site.

2. Important HIPAA Distinction

This website is not a patient portal. Information you submit through this Site — such as your name, email address, phone number, or a description of your condition — is collected for marketing and scheduling purposes and is not protected health information (PHI) under the Health Insurance Portability and Accountability Act (HIPAA). Our HIPAA Notice of Privacy Practices, which governs how we handle your medical records and PHI within the clinical setting, is available at our office locations and upon request.

Once you become a patient and your information is maintained within our electronic health record system, that information is governed by HIPAA and our Notice of Privacy Practices — not this website Privacy Policy.

3. Information We Collect

3.1 Information You Provide Directly

When you complete a contact form, request a consultation, subscribe to communications, or otherwise interact with the Site, we may collect:

  • Full name
  • Email address
  • Phone number
  • General description of your condition or area of interest (e.g., "lower back pain," "herniated disc")
  • Preferred location or appointment time
  • Any additional information you voluntarily provide in a free-text field

3.2 Information Collected Automatically

When you visit the Site, we and our third-party service providers automatically collect certain technical and behavioral data, including:

  • IP address (anonymized where required by law)
  • Browser type and version, operating system, device type
  • Pages visited, time spent on each page, referring URL, exit pages
  • Click paths, scroll depth, and interaction events
  • Date and time of your visit

3.3 Cookies and Tracking Technologies

We use cookies, pixel tags, and similar technologies to operate the Site, measure performance, and deliver relevant advertising. The categories of tracking technologies on this Site include:

  • Strictly Necessary Cookies — required for the Site to function (e.g., session management, security). These cannot be disabled.
  • Analytics Cookies — help us understand how visitors use the Site so we can improve content and user experience. We use Google Analytics 4 (GA4), which collects anonymized usage data. Google's privacy policy is available at policies.google.com/privacy.
  • Advertising / Remarketing Cookies — used to deliver relevant ads to you after you leave our Site and to measure the effectiveness of our advertising campaigns. We may use:
  • Google Ads conversion tracking and remarketing tags
  • Meta (Facebook/Instagram) Pixel for conversion tracking and custom audience building
  • Microsoft Advertising (Bing) UET tag
  • Other advertising platform pixels as campaigns require

These tools may collect information about your browsing activity across websites to serve you ads related to spine care and regenerative medicine.

3.4 Information from Advertising Campaigns

If you arrive at this Site through a paid advertising campaign (e.g., Google Ads, Meta Ads, or a partner referral link), we may collect campaign-specific data such as:

  • UTM parameters (source, medium, campaign name, ad content, keyword)
  • Click identifiers (e.g., Google Click ID / gclid, Facebook Click ID / fbclid)
  • Landing page URL and referring ad platform

This data is used to attribute lead sources, measure campaign return on investment, and optimize our advertising spend. It is stored alongside — but separate from — any personal information you submit through forms.

4. How We Use Your Information

We use the information collected through this Site for the following purposes:

  • Respond to your inquiries — to follow up on consultation requests, answer questions, and schedule appointments
  • Improve the Site — to analyze usage patterns, diagnose technical issues, and optimize content and navigation
  • Marketing communications — to send you information about our services, educational content about spine conditions and regenerative treatments, and practice updates, where you have opted in or where permitted by law
  • Advertising measurement — to evaluate the performance of paid advertising campaigns, calculate cost-per-lead and return on ad spend, and inform budget allocation
  • Remarketing — to display relevant ads to you on third-party platforms after you visit our Site
  • Lead management — to track the source, status, and progression of consultation requests through our internal systems (e.g., CRM)
  • Legal compliance — to comply with applicable laws, regulations, and legal processes

5. How We Share Your Information

We do not sell your personal information. We may share information with the following categories of recipients:

  • Service providers — companies that assist us with website hosting, analytics, email marketing, CRM management, appointment scheduling, and advertising (e.g., Google, Meta, HubSpot, Mailchimp, or similar platforms)
  • Advertising partners — ad platforms receive conversion data (typically in hashed or anonymized form) to measure ad performance and build audiences. This may constitute a "sale" or "sharing" of personal information under certain state privacy laws (see Section 9).
  • Bluetail Medical Group — as the clinical practice entity, Bluetail Medical Group staff may access lead and inquiry data to coordinate patient scheduling
  • Legal and regulatory authorities — when required by law, subpoena, or court order, or to protect the rights, safety, or property of our practice

6. Lead Capture and Form Submissions

When you submit a form on this Site (such as "Request a Consultation" or "Contact Us"), the information you provide is:

  • Transmitted via encrypted (HTTPS/TLS) connection
  • Stored in our CRM or lead management system
  • Used to contact you regarding your inquiry — typically by phone or email within 1–2 business days
  • Associated with campaign attribution data (if you arrived via a paid ad) for internal reporting purposes

Do not submit sensitive medical records, insurance information, Social Security numbers, or other highly sensitive personal data through the website contact forms. These forms are not designed for the secure transmission of protected health information.

7. Data Retention

We retain the personal information you provide through forms for as long as reasonably necessary to fulfill the purpose for which it was collected — generally for the duration of any active patient or prospective-patient relationship plus any period required by applicable law. Analytics and advertising data is retained according to the default retention settings of each platform (e.g., Google Analytics retains user-level data for 14 months by default).

You may request deletion of your personal information at any time by contacting us (see Section 11).

8. Data Security

We implement commercially reasonable administrative, technical, and physical safeguards to protect the information collected through this Site. These include HTTPS encryption for all data in transit, access controls on our CRM and analytics platforms, and regular review of our data-handling practices. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Your Privacy Rights

Depending on your state of residence, you may have the following rights regarding your personal information:

  • Right to Know / Access — request a copy of the personal information we have collected about you
  • Right to Delete — request that we delete personal information we have collected from you
  • Right to Correct — request correction of inaccurate personal information
  • Right to Opt Out of Sale / Sharing — direct us not to "sell" or "share" your personal information for cross-context behavioral advertising (as defined under applicable state laws)
  • Right to Non-Discrimination — we will not deny services or charge different prices for exercising your privacy rights

To exercise any of these rights, please contact us using the information in Section 11. We will respond within the timeframe required by applicable law (typically 45 days).

Opting Out of Advertising Cookies

You may opt out of interest-based advertising through the following mechanisms:

  • Adjust your browser settings to block or delete cookies
  • Visit optout.aboutads.info (Digital Advertising Alliance)
  • Visit optout.networkadvertising.org (Network Advertising Initiative)
  • Adjust your ad preferences within Google, Meta, or Microsoft account settings

Please note that opting out of advertising cookies does not mean you will stop seeing ads — only that the ads may be less relevant to you.

10. Third-Party Links

This Site may contain links to third-party websites, including research publications, medical associations, or social media profiles. We are not responsible for the privacy practices or content of those third-party sites. We encourage you to review the privacy policies of any external sites you visit.
